Formal Letters
1. What is a Letter?
A letter is a form of written communication between two persons or two parties on a particular topic, matter, issue, incident, etc. It serves the purpose of documentation as well.
2. Types of Letters :
Broadly speaking, there are two types of letters, namely: Formal Letters and Informal Letters.
1. Formal Letters: Such letters include Official letters, Business letters, Letters of Application, Letters to the Editor, to Heads of public bodies, etc.
2. Informal Letters: These letters are written to friends, relatives, members of the family, and close acquaintances.
3. Format of a Letter:
Every letter consists of the following parts:
1. Sender’s Address at The Top Left Hand Corner
Following the latest trend, the sender’s address is preferred on the top left-hand corner. Continuing with the latest trends in letter writing the commas and full stops at the end of the lines are omitted. The students may write the sender address as shown below:

Mostly formal letters are written on the letter-heads with the company’s name, address, telephone and telegram printed at the top.
2. The Date
Always write the date below the sender’s address. The students can choose any of the following ways of writing the date:
A. 10 March 2021
B. 10 March 2021
C. 10th March 2021
D. March 10, 2021
(The fourth type is more preferred now.) Unless mentioned in the question, students should write the saine date on which they are the examination.
3. The Name and Address of the Addressee In formal letters, the Name and Designation of the addressee is written on the left margin, two lines below the line of the date.

The usual form of salutation in formal letters is as follows: business executives)
Sir or Dear Sirs or Messrs for firms or companies (Not individual).
Madam is used when the letter is addressed to a lady.
6. The Body / Content of the Letter
Formal letters demand brevity and formal treatment. They should be to the point and confined to the specific business issues. There is no place for unnecessary and superfluous details informed letters.
7. The Complimentary Close
Generally, formal letters close with the following complimentary endings :
- Yours faithfully
- Yours truly
- If a personal name is used in the salutation the complimentary close can be:
Yours sincerely
8. Signature
A formal letter requires your full signature with the name and designation coming just below it. For example:

4. How to write a good letter?
- Arrange the ideas and facts in a logical and well-linked order.
- Avoid cliches and hackneyed expressions.
- Be precise and direct. Do not change paragraphs abruptly.
- Ensure grammatical accuracy, correct spelling and appropriate punctuation.
- Make sure that the letter conveys the intended message clearly and the tone of the letter suits the particular types of the letter.
5. Essentials of a good letter :
A letter is a direct address to the addressee. Hence, it must be appealing. The ideas must be original and relevant. Include your own viewpoints and opinions on the topic only where called for. A letter should be incorrect English, and in a style that reflects your personality.
A letter should have the most appropriate words, phrases and idiomatic expressions.
The sentences of a letter should be clear and precise.
In official and commercial letters, jargon should be avoided as far as possible.
Generally, the following types letters are 3 asked at school level exams. So learn and practice them well.

The air is rent with the deafening noise of crackers during these festival days.
Apart from the fact that the noise robs ones of one’s most precious and well-earned rest, it scares young babies, animals and birds. It sends up the palpitation rates of heart patients and of l those suffering from high blood pressure and particularly the senior citizens.
On behalf of the peace-loving citizens of Bodakdev, I appeal to you to take appropriate steps to ban the use of loudspeakers and noise-making crackers during the festivals, and to see to it that the noise is kept to the minimum possible level, particularly during nights.

It is a common sight cows squatting on the roads creating obstruction to the flow of traffic. Recently, a scooterist was fatally injured as he was knocked down by a cow and today he is lying in hospital with a fractured leg. There is none to take the responsibility. Although he was not in the wrong still he is penalised. In another incident, a car going smoothly had a mishap, a cow suddenly came in front of the vehicle just from nowhere and was hurt a little.
Soon a crowd gathered and the car owner was forced to pay a thousand rupees as compensation. Isn’t it the responsibility of the municipal authorities and their subordinate staff to remove the stray cattle and allow a continuous flow of safe traffic? The negligent cattle owners should be brought to book and heavily penalised 80

Informal Letters
These letters are written to friends or relatives. In these letters, the format remains s more or/less the same as formal letters. Only? the Subject or occasionally Reference are s not included here. Besides this, the salutation? is non-formal. It may be ‘Dear father/dad, smother mom, brother/bro, sister/sis,? uncle / churchi, friend / buddy, auntie / Chachi s and so on. Sometimes in place of ‘dear’, there? maybe ‘loving’, ‘My sweetheart’s etc.; and so s is the case with complimentary close’: Yours! none to take the responsibility.
lovingly, Yours intimately, Your true love, Yours respectfully, Yours obligingly / kindly, etc. Moreover, the language of Informal Letters is more or less flexible. No stereotype or conventional language is needed here. Nomenclatures are avoided in such letters. If the addressee is a respected person, the language to be used is to express respect or reverence to him/her; if the addressee is close or intimate one, the language to be used goes in that fashion.
